Office Recovery Plan

Dear colleagues,

Following the recent announcement about the gradual relaxation of the lock-down measures, we are preparing to return back to our offices aiming for a smooth recovery in the ‘New Normal’.

Last Thursday during the virtual townhall, we had the opportunity to discuss all these in details and I would like to thank the 250+ colleagues who participated actively and with their questions helped us to clarify most of these points. At the same time, I would like to apologize to those who, due to some technical limitations, have failed to connect. Through this note I would like to correct this problem and share again the guiding principles and the directions we are following during for the recovery plan.

 

Guiding principles

Health and safety is and remains our top priority, while empathy, caring and understanding for our people are the key principles at every design phase and stage. We are facing an unprecedented situation and our design depends on parameters and conditions that are not always in our direct control. However, since the beginning of the crisis we have set up a SSM team that closely monitors every development and is ready to adapt our plans appropriately in the light of the above principles.

 

Return to offices

After a thorough study, the office capacity has been redesigned following much stricter criteria than the ones announced by the government or proposed by PMI, in an effort to ensure full adoption of social distancing (2 meters) and maintaining a safe and protected working environment.

More specifically:

  • Single office: Single office users are allowed to return without any restrictions.
  • Double offices: For the time being a rotating schedule is strongly recommended in order just one of the two office users to be present at the same day. Each user have to use their own office.
  • Shares or Open Space offices: We are ready to welcome up to 50% of colleagues working in shared or open space offices. For this reason some desks have been "cancelled" and properly marked while their chairs have been removed. Daily schedules should be arranged among the relevant teams and in agreement with the respective managers, avoiding overcrowding and following the precautionary measures. Please follow the principle of ‘Personal use of keyboard and mouse’. Because the 'active' desks will be used sequentially by many users, at the beginning of each day, connect your individual keyboard and mouse, while before leaving disconnect them and store them in your drawers.  

I would like to point out that we do not target 50%, or any other percentage of return, we are simply ready to move from the "Stay Home" to the next phase, with a combination of work from the office and home, aiming to achieve a more balanced and effective ways of working.

 

Clean desk policy

In order to facilitate the office daily deep cleaning, after the end of the working day, only the computer monitor (and keyboard/mouse in case allowed) should remain on the desks.

Pencil, cases, papers, frames and any other objects must either be kept in individual drawers or stored in boxes available in all offices and general service.

Meetings

Physical meetings should be avoided and be replaced by virtual ones, utilizing the available technology accordingly.

In cases a face to face meeting is necessary, we have redesigned the capacity of the meeting rooms to secure the appropriate safety distances. 

The instructions posted outside each room concerning the maximum capacity must be strictly followed.

Use of masks

The use of masks is mandatory in all public areas (meeting rooms, corridors, toilets, etc.) as well as in all shared or open space offices.

It is understood that this is not convenient and possible after quite some time to be even annoying. Nevertheless, our outmost priority is health & safety so we count on your understanding for full adherence of this measure. We are in contact with experts and constantly monitoring all the developments to adjust this measure accordingly whenever possible.

Commuting to Aspropyrgos

It is highly recommended to avoid the use of the public transportation, especially at this early recovery phases. For the month of May, we would extent with the same terms and conditions the relevant practice for the factory colleagues, subsidizing the use of private cars (based on the mileage and actual presence in the premises).

Please note that the bus connecting Magoula train station with our premises remains in place.

Additional Information

The established guidelines for the vulnerable groups, people with symptoms or possible exposure to Covid-19 are maintained without any change. 

Our doctor, medical center and EHS are closely monitoring these cases and have full control with the most effective way.   

Moreover, all the relevant practices for parents with kids under the age of 15 are remain active.

Finally, all the announced so far precautionary measures remain in force. Indicatively:

  • Mandatory temperature control at the entry
  • Distribution of masks (2 masks per day)
  • Hygiene measures: Frequent hand washing - availability of disinfectants
  • Serving coffee and snacks on the 1st floor of the admin building
  • Safety zones between factory and offices
  • Ban of visitors
